III. VOCI HUBS Initiative

In response to the principle that "you cannot sharpen what you are not aware of," four specialized hubs were established for knowledge sharing and resource interaction:

  1. VOCI Business & Entrepreneurship Hub - For business-minded members to share and discuss entrepreneurial insights, case studies, and opportunities
  2. Creative & Innovation Hub - For creative professionals and innovators to collaborate on creative solutions and share industry trends
  3. Community Advocacy Hub - For members passionate about community impact and social change
  4. Governance & Policy Hub - For members interested in policy development, institutional leadership, and governance

Purpose: These hubs enable targeted knowledge sharing within areas of member interest while maintaining cohort unity and cross-hub learning opportunities.

Strategic Interventions Required:

  • Personalized Support: Assign peer mentors to help them catch up on missed content

  • Re-engagement Strategy: Create a "coming back strong" messaging campaign

V. Key Accomplishments (January 2026)

VI. Challenges Identified

1. Inconsistent Social Media & Content Presence

Priority: HIGH

  • Not consistently posting session moments and updates
  • Lack of intentional time allocation for content creation and recording
  • Momentum has slowed over the last week of January

2. Low Initial Attendance & Member Drop-off

Priority: CRITICAL

  • Some registered members have not attended any sessions
  • Others have missed multiple sessions without clear communication
  • Lack of systematic follow-up process for absent members

3. Assessment Form Delays

Priority: MEDIUM

  • Active Listening & Feedback assessment form still in development
  • Need to formalize and launch evaluation mechanism

4. External Institutional Conflicts

Priority: MEDIUM

  • PREVA Week and other campus events disrupted session schedules
  • Impacts member attendance and leadership capacity
  • Need better coordination with campus calendar

VII. Proposed Way Forward & Growth Strategy

A. Member Engagement & Retention Strategy

Phase 1: Immediate Triage (By Feb 7, 2026)
  1. Conduct member categorization audit (who's attending, who's missing, who's not engaged)
  2. Personal outreach to all non-attending members (phone calls + WhatsApp)
  3. Clarify barriers: scheduling, transportation, clarity, commitment level
  4. Offer flexible options (recorded sessions, makeup classes, hub-only participation)
Phase 2: Re-engagement Campaign (Feb 7-21, 2026)
  1. Create "Cohort 1 Catch-Up" packages for members who missed sessions
  2. Host low-pressure intro events (VOCI Hub showcases, casual meetups)
  3. Implement peer mentoring buddy system for struggling members
  4. Share member success stories and testimonials from committed members
Phase 3: Sustainable Engagement Model (Feb 22 onwards)
  1. Establish clear attendance expectations and consequences
  2. Create tiered participation options (core sessions, hub participation, book club only)
  3. Build support systems for members with obstacles (mentors, flexible deadlines)
  4. Celebrate milestones and progress publicly

B. Handling Non-Attending Members

Categorization Framework:

C. Content & Communication Strategy

Weekly Content Calendar:
  • Assign rotating content creators from ELT and committed members
  • Post minimum 3x per week: session highlights, member spotlights, hub insights, motivational messages
  • Record 1 educational content piece weekly (short tips, curriculum highlights, member interviews)
  • Weekly WhatsApp status updates and LinkedIn posts

D. Hub Development & Activation

  • Appoint Hub Leads for each of the 4 hubs (Business, Creative, Community, Governance)
  • Create hub-specific meeting schedules and content themes
  • Launch monthly hub showcase events (cross-hub learning)
  • Develop resource libraries within each hub (articles, tools, contacts)

E. Assessment & Accountability Framework

  • Complete Active Listening & Feedback assessment form by Feb 3
  • Implement monthly progress evaluations for members
  • Create member success tracking dashboard (attendance, assignments, participation)
  • Establish peer accountability checkpoints in mentorship groups
